Why have a Privacy Statement

MPI MONTREAL & QUEBEC seeks to develop good relations with its members. These relationships are based on trust and respect, and we believe this is the best way to manage our organization. We establish trust and respect by specifying what kind of information we receive and how this information will be used and protected. We know that your information is valuable and we want to ensure that all data provided will be treated safely and with respect.

Collecting  personal information

MPI INTERNATIONAL and MPI MONTRÉAL INTERNATIONAL compile data to better serve you. As an international association whose headquarters are in the U.S., MPI INTERNATIONAL is not subject to Canada’s Personal Information Protection and Electronic Documents Act, but the Canadian chapters like MPI MONTREAL & QUEBEC are subject to these laws. Thus, this policy applies only to the collection and handling of personal information by MPI MONTREAL & QUEBEC. According to the law, "personal information" refers to any information that an identifiable individual may give verbally, in writing or by electronic means. Among others, this includes the following:

  • The member’s personal details and mailing information such as address, home telephone number and email address;
  • Credit card or other forms of payment collected by MPI MONTREAL & QUEBEC for member activity fees;
  • Information of a personal nature on any form of applications, appointments, surveys, questionnaires, evaluations, etc., such as past employment, volunteer experience, statements, preferences, etc.;
  • Photographs taken at events organized by MPI INTERNATIONAL or MPI MONTREAL & QUEBEC.

Consent to us personal information

MPI MONTREAL & QUEBEC endeavours to obtain the consent of all its members regarding the collection, use and disclosure of personal information. As a member of the Montréal chapter, MPI MONTREAL & QUEBEC may ask you for information to:

  • identify you;
  • understand your needs;
  • confirm your contact information;
  • offer services for members;
  • establish and maintain communication;
  • answer your questions;
  • develop and provide products and services that are useful;
  • keep an accurate, current history of chapter members;
  • collaborate with our partners and sponsors to develop and provide products and services (which may include the sale of membership lists as business contacts);
  • comply with legal and regulatory requirements.

It is important to note that, by law, information relating to business contacts is not considered personal information. Moreover, the law states that personal information does not include the name, title, business address or telephone number of an employee of a company. Occasionally, MPI MONTREAL & QUEBEC may exchange information related to its members with partners or sponsors who provide services or offer support to the chapter in exchange for information about its members. This data may be used by these partners and sponsors for marketing purposes.

However, MPI MONTREAL & QUEBEC respects the rights of its members who elect to be excluded from any distribution of information. If a member does not wish to be included in the distribution of labels or the general distribution of information, the member may simply contact the Administrative Office of MPI MONTREAL & QUEBEC (see details at the end of the document) or check off the relevant sections in membership forms or event registration forms.

Please note that MPI MONTREAL& QUEBEC never distributes email addresses or fax numbers to its partners. Email addresses and fax numbers are strictly for the chapter - and not for external commercial use.

When are we able to exchange information ?

MPI MONTREAL & QUEBEC may exchange personal information under certain circumstances. Here are some examples:

  • Personal information may be disclosed to an organization or individual retained by MPI MONTREAL & QUEBEC for a specific purpose, such as for an assessment or market research. Any disclosure to this effect by MPI MONTREAL & QUEBEC is made confidentially and only in a very specific purpose;
  • We may disclose any personal information to a service or an agent of a public body if, at our sole discretion, it appears there is imminent danger to life or property which could be avoided or minimized by disclosure of this personal information;
  • We may disclose personal information when required by law;
  • We may disclose personal information to municipal authorities for statistical purposes.

Protection of personal information

  • MPI MONTREAL & QUEBEC does not collect, use or reveal any personal information, except for the reasons listed above, or if a member gives us permission;
  • MPI MONTREAL & QUEBEC shall protect the confidentiality of your personal information in the administration of internal business or externally with other organizations;
  • MPI MONTREAL & QUEBEC shall ensure that personal information is properly protected;
  • MPI MONTREAL & QUEBEC strives to keep your personal information current and shall correct any error or omission as soon as possible;
  • MPI MONTREAL & QUEBEC shall keep your personal information on file as long as required, in accordance with the law.

Access to personal information

Implementation

This policy came into effect on August 15, 2006. MPI MONTREAL & QUEBEC regularly reviews its policies and practices in terms of confidentiality. When changes are made, a notice will be posted on our Website (www.mpimontreal.com) or in the MPI MONTREAL & QUEBEC Newsletter. These changes shall apply to information received after the date the notice in question was posted.
